Instructions for attendees

Thank you for coming along to Te ara pounamu. To ensure you can navigate your way around on the day, we have put together the following important links for use of the virtual hui platform Hopin.

The Hopin event platform

We are using the Hopin (www.hopin.to) event platform for our virtual hui Te ara pounamu. Hopin is a virtual venue with multiple interactive areas to help you connect and engage. As an attendee, you’ll be able to move in and out of rooms just like an in-person event and enjoy the content and connections throughout. The Hopin platform includes a main stage area, breakout rooms (called Sessions), live video and text-based chat functions, as well as connection and networking functions. 

Hopin is easy to use, and runs straight out of your web browser. While Hopin does work on mobile devices, for the best experience we strongly recommend that you use a laptop or desktop computer to take part in Te ara pounamu. Hopin works best on the latest version of Google Chrome, which you can download here.

When you enter Hopin you will be taken to the Reception. All sessions can be accessed throughout the day from this page.

Accessing the hui

  • Head to https://hopin.com/events/te-ara-pounamu.
  • Click on ‘Log in to access the event’, under Tickets.
  • You will need to login using your email address and the password you provided during registration. If you have forgotten your password, you can reset it here.
  • The activities on the agenda can all be accessed from the Reception page, return to that screen at any time to see the schedule or access Technical Support.

Main stage

Look out for this Stage icon. The main stage is where the speakers will appear. 

There is a chat function on the right hand side of the screen in Hopin. There will be different chats available depending on where you are. These include: event (available at all times, messages displayed to all attendees), stage (messages displayed only to those viewing the presentation) and there is also an option to private message someone.

We ask that you please use the Event chat for general introductions and discussion and the Stage chat specifically for questions to the presenters. 

Sessions (Breakout rooms)

Look out for this Sessions icon. Speaker sessions are similar to Zoom breakout rooms. Please refer to Hopin’s sessions tutorial for more information.

  • In the afternoon we will have multiple breakout rooms available. Attendees need to choose a theme and click on a session to enter the room.
  • On the bottom right hand corner of each entry in the list of sessions there will be a number - if that number is less than eight you can join the room. If the room is full, additional rooms can be accessed by clicking on the Sessions icon.
  • When entering the room please request to share your audio and video and wait to be approved by the moderator.
  • These sessions will be used to host small group interactive discussions with up to eight people.

Networking

Look out for this Networking icon. If you would like to network during the breaks, this is where you will come to connect. 

  • If you click on ‘Ready’ you will join a queue to be matched with other attendees who are interested in connecting. This will lead to a brief video call with one other attendee; once the call is over you will be linked in with another attendee.
  • Please refer to Hopin’s Networking tutorial for more information.
  • There are also opportunities to network using a direct message option. Find the ‘People’ list on the right hand side of the screen, click on an attendee you’d like to connect with and send them a message.

Expo

Look out for this Expo icon. Copies of these instructions and details of how to contact our technical support team will be available by clicking on this icon.
